Contabilitate › Ciorne de facturi (Bookkeeping › Invoice drafts) holds every received invoice, credit note and receipt the app found in Documente (Documents), read and filled in as a draft. Nothing reaches the books until a person checks a draft and registers it.
- Files uploaded in Documente › Încarcă (Documents › Upload), files from the company’s Dropbox folder, PDFs and photos sent from the phone, and the proof attached to a bank movement.
- As soon as the text of a document is read, the app decides whether it is a supplier invoice, a credit note or a receipt. If it is, a draft is made by itself; there is nothing to press.
- e-Factura invoices from SPV and bank statements do not become drafts: they have their own pages (see e-Factura invoices from SPV).
The draft is only a proposal: the books change when you press Register.
- Open Ciorne de facturi (Invoice drafts), or Verifică ciornele (Check the drafts) on the home page, which shows how many are waiting.
- Open the first draft. When everything on it is right, press Înregistrează (Register) at once. See Register a draft.
- When a value is wrong, correct it, or press Citește cu AI (Read with AI) and take the values the AI read. See Check a draft and Read with AI.
- After each registration the next draft opens by itself, until the message Toate ciornele sunt verificate. (All the drafts are checked.)
- What is left without an explanation (a payment with no invoice, an invoice with no payment) is on Unexplained items.
- The buttons on top show the drafts by status, each with its count: De înregistrat (To register), Înregistrată (Registered), Respinsă (Dismissed), Toate (All). The list opens on the ones to register, newest first.
- Filter by Tip (Kind: invoice, credit note, receipt, proforma) or search in Furnizor, număr sau fișier (Supplier, number or file), then press Arată (Show).
- Each row has the date, the supplier, the number, the total and two marks. The bank mark: Plată găsită (Payment found), De ales (To choose), Suma diferă (Amount differs) or Fără plată (No payment); see Draft and bank movement. The status mark, with Dublură (Duplicate) next to it when the same invoice exists twice; see Duplicates.
- Everyone who sees the books sees the drafts; only those who can change the books can correct, register or dismiss them.
The text of the documents is read by Opensolr. A company with no Opensolr account keeps its documents, but they are not read: no draft is made from them and there is no reading with AI. Received invoices are then registered by hand (see Register an invoice).
