Billing and plans

Account admins pay a plan before adding companies; every payment gets an invoice.

Instalare › Facturare (Installation › Billing) lets an installation ask its account admins to pay a plan before they add companies. Payments go through Stripe, and every payment gets an invoice in the books of a company you choose. Billing starts turned off: while it is off, nobody pays.

Only the superadmin sees these pages. Every save asks for the code from your authenticator app.

01 · The Stripe keys
  1. In the Stripe Dashboard, Developers › API keys: copy the secret key into Cheia secretă Stripe (Stripe secret key).
  2. In Developers › Webhooks › Add endpoint, paste the address the page shows under Webhook în Stripe (Webhook in Stripe), and choose the five events listed there.
  3. Copy the endpoint's signing secret into Secretul de semnare al webhook-ului (Webhook signing secret).

Both keys are kept encrypted and are never shown again. Leave a field empty to keep the key already saved.

In Stripe, Settings › Billing › Customer portal: turn the portal on and let customers update their card and cancel. Leave switching plans off there; plans are changed in the app.

In Settings › Billing › Subscriptions and emails, the part about failed payments decides how many times Stripe tries again and what happens after the last try. See When a payment fails.

02 · Currency and the company that issues the invoices
  • Moneda (Currency): three letters, such as RON or EUR. The plan prices are in this currency.
  • Firma care emite facturile (Company that issues the invoices): one of the companies of the installation. Every payment becomes an invoice in its books, already marked as paid.
  • Seria facturilor (Invoice series): the letters of the series. It is made in that company if it does not exist yet.
  • Contul de venit (Revenue account): the account the invoices are booked to.

When that company is connected to ANAF SPV, each invoice also goes to e-Factura by itself. When it is not, the invoice stays issued, and the reconciliation lists the invoices of Romanian clients as not sent.

When that company has its Stripe account connected, the payment that comes in from Stripe is recognised as the payment of its invoice and is not booked twice.

03 · The plans

Instalare › Planuri (Installation › Plans) lists the plans, one per row: Nume (Name), Firme (Companies, the most a plan allows), Preț lunar (Monthly price), Preț anual (Yearly price), Activ (Active). The last row adds a new plan.

  • Prices are without VAT. The VAT is added on top, by the billing details of each client.
  • A plan without a monthly or a yearly price is not offered for that period.
  • A plan that is not active is no longer offered; those who already have it keep it.
  • New prices apply to new payments and to plan changes.

Planuri standard (Standard plans) makes the plans of 1, 3, 10 and 100 companies in one go: write the price of one company per month, per year, or both, and press Creați planurile (Make the plans).

04 · Turning billing on

Tick Facturarea e pornită (Billing is on) and save. It turns on only once the two keys, the currency, the company with its series and at least one active plan are set.

From then on, an account admin who signs up lands on the plans page, and can add companies only up to the plan they paid for.

05 · Who never pays
  • The superadmin.
  • Exempt accounts: open the account under Conturi (Accounts) and tick Scutit de facturare (Exempt from billing). An exempt account adds as many companies as it wants, and its companies are never blocked.
  • People who work in a company and do not own it (accountants, employees): the company's owner pays for it.
06 · Stripe events not handled yet

When something from Stripe could not be handled, for example because the company that issues the invoices has its month closed, the billing page lists it under Evenimente Stripe netratate încă (Stripe events not handled yet), with the reason. Stripe sends it again by itself; once the reason is fixed, it goes through and leaves the list.
