Upload documents

Every financial document goes in once and becomes searchable.

Every document of the company goes in once: client and supplier invoices, receipts, bank statements, reports. The app keeps a copy that never changes. With an Opensolr account, Opensolr also reads its text (with OCR for scans and photos), and the document becomes searchable.

01 · Upload files
  • Open Documente › Încarcă (Documents › Upload).
  • Drop the files on Trage fișierele aici (Drop the files here), or pick them, then press Încarcă (Upload).
  • Accepted: PDF, pictures (JPG, PNG, WebP, TIFF, HEIC), XML, CSV, TXT, Word (.docx) and ZIP archives. A ZIP is opened and each file inside becomes its own document.
  • The type of a file is read from its content, never from its name.

You land on Toate documentele (All documents) with a message saying how many documents were uploaded, how many already existed, and which files were refused and why (for example a file larger than the size limit of the installation, 25 MB by default).

Upload, Dropbox and e-Factura (SPV) all lead to the same place: a stored copy, its text, and the company’s search.

  • Duplicates. A file already in the company is recognised by its content and not added twice.
  • Without an Opensolr index yet. The documents are kept; their text and the search start as soon as the company’s Opensolr index is ready. A company with no Opensolr account to hold one keeps its documents, but they are not read, nothing is filled in from them and they cannot be searched.
  • Who sees them. Administrators and accountants see every document of the company; an employee sees the documents they uploaded.

Files from a Dropbox folder and e-Factura messages from SPV arrive the same way, by themselves, once those connections are set (see Dropbox and ANAF (SPV)).

Opensolr Accounting is open source, under the GNU Affero General Public License v3.0. Questions about the Opensolr account, the Opensolr Indexes or the plan go to opensolr.com/contact; questions about the software itself belong on GitHub.
